KEY DUTIES AND RESPONSIBILITIES:
The Chapel Ministries Coordinator plays a vital role in the planning and execution of weekly traditional worship services, rehearsals, and special events. This position blends hands-on administrative work with ministry-minded collaboration, actively supporting the Director of Chapel Ministries in creating services and in inspiring and equipping people to exalt God and impact others through authentic worship. The coordinator serves as the central hub of communication and coordination for the Chapel Ministries—including the Choir, Orchestra, and Production Team, ensuring every person is informed, equipped, and ready for each week’s worship services and rehearsals.
Communication & Scheduling:
- Communicate weekly call times, rehearsal schedules, and special event details to choir, orchestra, and production team members.
- Oversee orchestra scheduling and keep participation records current and accurate.
- Maintain and update current and upcoming Planning Center Online (PCO) services, including service elements, announcements, vocalists, instrumentalists, and music details.
- Keep the Choir and Orchestra pages in PCO organized and up to date.
Music & Service Materials:
- Prepare, photocopy, and upload weekly choir/singer packets.
- Print tech sheets for rehearsals and Sunday services.
- Purchase, organize, and distribute music for weekly and special services.
- Hire instrumentalists for special Chapel events, prepare their music packets, and submit check requests.
Logistics & Administrative Support:
- Enter CCB reservations for Chapel events, including additional rehearsals and handbell services.
- Request door schedule exceptions through Public Safety for rehearsals held outside regular Tuesday/Sunday times.
- Support seasonal services and special projects (e.g., Christmas, Easter, memorials, mission trips, concerts) with logistical and planning assistance.
- Other responsibilities as assigned by the Director of Chapel.
PROFESSIONAL AND SPIRITUAL EXPECTATIONS:
- Education: High school diploma.
- Experience: Previous involvement in music ministry, church administration, or worship service coordination preferred.
- Ability to read music, understand key signatures, modulations, and transpositions.
- Strong organizational and communication skills.
- Proficiency with Microsoft Office (Word, Excel); must be comfortable with technology and willing to learn Planning Center Online (PCO), Church Community Builder (CCB), and other ministry tools.
- This position is not eligible for licensing or ordination by Grace Church.
- Demonstrates a personal passion to serve and lead within the local church, with a heart for worship and a love for others.
